Time blocking in Todoist

Plan and time-block tasks with ease in Todoist. When you know what’s up next and what to reschedule, you can tackle high-priority work without letting crucial information slip through the cracks.

Select the calendar layout

Let’s get started by selecting either the day or week calendar layout in Todoist:

Time block in the day calendar

If you're using the Today view:

  1. Log in to the Todoist web app or the desktop apps.
  2. Open the Today view.
  3. Click the layout button at the top-right.
  4. Select Calendar.

The day calendar will display all-day tasks and calendar events at the top. Calendar events and tasks with a date, time, and duration will appear in their designated time slots below.

Time block in the week calendar

If you're using the Upcoming view:

  1. Log in to the Todoist web app or the desktop apps.
  2. Open the Upcoming view.
  3. Click the layout button at the top-right.
  4. Select Calendar.
  5. Select the Week layout. You’ll see all your events and tasks for the week.

The week calendar will display all-day tasks and calendar events at the top. Calendar events and tasks with dates, time, and duration will appear in their designated time slots below.

Need to add or manage tasks after the current week? The week calendar lets you see scheduled tasks up to two years in the future.

Time-block a task

To start time-blocking, add a date, time, and duration to your task. It’s easiest to drag the task to the correct day and time, but you can also manually edit the task’s Date field.

When dragging a task to your schedule, Todoist automatically adds the date, time, and a 15-minute duration to the task.

Use natural language

You can also time block using Quick Add’s natural language input. Enter the task’s date, time, and duration using natural language. It can be something as simple as tomorrow at 10:00 AM for 25 minutes or as complex as next Friday 2:00 PM for 1 hour and 30 minutes.

Change the task date

If you prefer to change the task date manually, click the Date field in the task view to open the task scheduler. Then, select a day or date on the mini calendar, or add a time and duration in the Time field.

The default task duration of 15 minutes isn’t enough to write a solid monthly report for your board meeting or finish a noteworthy thesis paper. Adjust the duration by clicking the edge of a task and dragging it downwards in the calendar. If you’ve synced your calendar app to Todoist, it’ll sync and display the same duration.

Stay on top of your schedule by setting up the Calendar integration and syncing Todoist to your go-to calendar app.

Once the integration’s up and running, you’ll see a “Todoist” calendar in your calendar app. Your all-day tasks are at the top, while scheduled tasks are in their designated time slots. You’ll always know what’s coming up, even if you aren’t actively using Todoist.

Events you’ve already scheduled in your calendar are displayed in color-coded time blocks in Todoist. This helps prevent overlapping tasks with events or appointments.

Plan for unscheduled tasks

Not sure what to tackle this week? Open the Upcoming view and click the Plan sidebar on the right side. You’ll see all of a project’s overdue, unscheduled, and all-day tasks. When you drop it into the calendar, Todoist automatically adds the date, time, and duration to the task.

Did an idea strike you while you were at a 3PM meeting? Open the day or week calendar and click a time slot. Quick Add opens automatically with the date, time, and automatic reminder pre-populated for you.
